Terms & Conditions

The volunteer is responsible for arranging their airfare to Kenya. Airfare is not included with your program fees. It is the responsibility of the volunteer to carry the necessary documents for traveling to Kenya. Specifically, you will need your Passport, Visa, and Flight itinerary. It is a good idea to scan and email these documents to yourself. This will ensure you have access to the information on them in case they are lost or stolen.

Travel insurance is the responsibility of the volunteer. Please research and purchase the necessary travel insurance for your trip. Travel insurance is mandatory. World Nomad Travel Insurance is highly recommend, extremely affordable, and provides great coverage. They rank as one of best “adventure” travel insurances on the market, such as, International volunteering.

World Nomad also donates a small percentage of the ACF’s volunteer premiums, which helps the ACF continue its mission. If you do decide to use World Nomad as your travel insurance provider, the ACF would really appreciate you using the World Nomad widget HERE or by clicking on any of the World Nomad links on this website.

Although we recommend World Nomad, the volunteer is solely responsible for evaluating and determining the type, extent, and levels of any insurance coverage they need or desire for their planned volunteer trip.

There are no specific deadlines for when the deposit should be paid. The amount of time between applying and arrival into Kenya is different for each volunteer, making it difficult to set a deadline. Volunteers should pay the deposit as early as possible because it allows the ACF to start preparing for the volunteer’s arrival. The deposit also secures your placement from a large group signing up or the maximum amount of volunteers being reached causing the ACF to close placements for a specific time.

Volunteers will need to log in to the account created for them during the application process to pay the deposit or program fee. From the volunteer’s account page, select “Orders” to view and pay the deposit or program fee. PayPal processes all payments made from the ACF Website. The ACF accepts Visa, Master Card, American Express, Discover Card, and PayPal payments.

A deposit is required due to the amount of applications we receive. The deposit is approximately 25% of the program fee up to $250. The deposit is $250 for all programs where 25% of the program fee is greater than $250.

Program fees our volunteers pay provide for their transportation to and from the airport in Nairobi, accommodation, and meals. The program fees also assist the orphanage and help with the new orphanage the ACF are building near Kitale in a village called Kaisagat.

Program fees are due 30 days prior to the beginning of the volunteer’s program placement. This is because 30 days to arrival your program fees are used to pay for different services for your placement. For example, we purchase lodging and transportation from Nairobi to Kitale four weeks before you arrive.

Your deposit and/or program fee is fully refundable. To receive a refund, submit a request via e-mail to admin@acfvolunteers.org asking to withdraw from your volunteer trip 60-days prior to your programs start date. You must include your name, date of program, program placement, and reason for withdrawal. If you sign up less than 60 days but greater than 30 days before your program start date, you will have 10 days to withdraw from the volunteer trip and receive a full refund of deposit and/or program fee. If you change your start date, the date used for refund purposes will be the date indicated on your application form, unless agreed upon otherwise.

Volunteers acknowledge and accept the responsibilities and risks associated with volunteering in a developing country. Travel and volunteering in a developing country can involves a certain degree of risk, inherently dangerous activities and personal perils to the volunteer, both foreseen and unforeseen, all of which are fully accepted by and solely assumed by the volunteer.

The ACFIV will pick up and return the volunteer to the airport. For airport return, the volunteer must be at the designated program area ready for departure. If the volunteer is away from the program area touring the country or out on a safari when time for departure and still needs a ride back to the airport additional fees may be applied.

Alcohol use is not recommended. Volunteers are required to abide by their host families rules. Illegal drug use is strictly prohibited and will result in instant dismissal from the program.
